An aiWARE user can belong to more than one organization. Only an aiWARE administrator can approve or deny the request. If approved by the administrator, an invitation is sent to the user. Users can be invited to many organizations at once, however, they can not be invited to the same organization multiple times. Invitations expire after seven days, after which a user must ask an administrator to approve the request again.
[Note] There are some limitations for users that have been provisioned to use aiWARE via an identity provider such as Azure AD or Okta:
- Those users are not able to invite other users to join an organization.
- Those users cannot set a default organization for themselves.
Request a new user to be added to an organization
Users can invite another aiWARE user to join an existing organization. An aiWARE administrator will have to approve the request before an invitation will be sent to the user. The invited user must accept the invitation to join before being granted access to the organization's applications and data.

Steps
- If you are not already logged in, go to Veritone aiWARE, fill in your credentials, and select Login.
- Select the Veritone logo in the top right of your browser to open the Utility Bar.
- Select the Organizations icon (
) to open the Organizations panel. - Select the Invite User button at the top of the Organizations panel to open the Invite User panel.
- Enter the email of the existing aiWARE user you would like to add to this organization and select Add.
The user card is displayed on the panel.
- Select +Add Application on the user card to open the Add Application panel.
- Select each application you would like to request for this user, and select a Role for the user for each application.
- Select Save.
The Add Application Panel closes and the user card displays Access to # Applications.
- Optional: At the bottom of the Invite User Request panel add a message for this user.
- Select the Send Invitation Request button.
Manage an invitation to an organization
If you've been invited to join a new organization, or if you've invited others to join your organization and the invitations have been approved by the administrator, the next time you log into aiWARE, you'll see a red indicator on your Organization icon that displays the number of new actions that are available. If there are invitations for you to join another organization, you can accept or reject the request. You may also see pending invitations you have sent for others to join. Invitations expire in 7 days, so you can't re-send an invitation until it has expired.
Steps
- If you are not already logged in, go to Veritone aiWARE, fill in your credentials, and select Login.
- Select the Veritone logo in the top right of your browser to open the Utility Bar.
- Select the Organizations icon () to open the Organizations panel.
- Select the Invitation tab. This should have a number count that represents your open invitations.
- Select the View Request button on a new request to open the Review Request panel, then do one of the following:
- If you want to access the files and applications associated with the organization, select Accept Invitation.
- If you don't want to join the organization, select Reject Invitation.
The Review Request panel closes. If you accepted the invitation, the new organization is now on the My Organizations tab on the Organizations panel.
Switch organizations
If you've joined more than one organization, you can switch between them using the Organizations panel. When you switch between organizations, you are immediately redirected to the new organization. The applications you have access to in aiWARE are organization-specific, so if the application you are currently viewing is not supported in the new organization, you will be redirected to the default application set for the organization.
[Warn] Any unsaved progress you have in the original organization will be lost if you switch organizations.
Steps
- Select the Veritone logo in the top right of your browser to open the Utility Bar.
- Select the Organizations icon () to open the Organizations panel.
- On the My Organizations tab, select the organization you want to switch to. Upon selecting a new organization you will be immediately redirected to the new organization. If the current application you are using is supported in the new organization, this browser tab will refresh to the home page of the application you're currently on.
Set a default organization
Users can set a default organization for themselves. Your default organization is the organization that is loaded whenever you log into aiWARE.
[Note] There are some limitations for users who have been provisioned to use aiWARE via an identity provider such as Azure AD or Okta. Those users cannot set a default organization for themselves.
Steps
- Select the Veritone logo in the top right of your browser to open the Utility Bar.
- Select the Organizations icon () to open the Organizations panel.
- On the My Organizations tab, select More actions on the organization you want to make your default and select Make Default.
